Roadgrip, a small family company with a national presence, were searching for a field management and workflow software solution- and Re-flow was the answer

Roadgrip operate on an international scale as specialists in road marking, line painting, rubber removal, floor coatings, anti-skip, grooving, and surfacing.

They’re a family business with a head office in Bedfordshire and have a reputation for delivering fast, competitive, and professional marking and surfacing services for international motorsports, airport runway grooving, highway retexturing, and more.

They have a permanent staff of 41 employees and ‘too much plant to count’.

As a large-scale business with a small team, they had parts of their workflow they wanted to improve:

  • Slow manual processes causing bottlenecks
  • Rescheduling jobs being a pain
  • Paper-heavy admin
  • Paperwork getting lost in vans
  • Inaccurate record keeping
  • Having no centralised system to manage the company workflow and store data

Roadgrip used to build their job packs manually and had to chase up forms and updates from site via calls and emails.

When their operatives worked abroad or in areas of poor signal, this was often a frustrating and time-consuming process.

To solve their problems, Roadgrip decided to find that elusive piece of field management software capable of covering all their forms and documents:

  • RPE checks,
  • Toolbox Talks
  • Signoffs
  • POWRAs (point of work risk assessment)
  • Shift briefs
  • Vehicle checks
  • Plant checks
  • Mezzanine inspections

They no longer wanted to chase up operatives for job updates and task completion and hoped to boost their productivity in a way that was scalable to their growing and evolving needs.

The size of their business meant that only powerful and comprehensive software would do, so the right solution would also have to include the kind of support team capable of managing Roadgrip’s digital transformation opportunity.

Re-flow: scalable software capable of flexible rescheduling and working offline

Roadgrip wanted more data, and better enforced compliance. Re-flow seemed to fit Roadgrip’s criteria for a number of reasons:

  • Re-flow’s dashboard is easy to use and allows companies to filter data and create reports tailored specifically to their needs.
  • The software automatically creates data trails throughout the job process, from quoting to billing.
  • Re-organising jobs on the Re-flow scheduler is a simple case of dragging and dropping. Notifications and automations trigger if there are any clashes, or if any criteria such as incorrect qualifications or unavailability due to holiday is present.
  • Re-flow acts as a central hub for all company communication and works both online and offline by seamlessly updating with the dashboard once a connection is re-established.
  • Re-flow’s onboarding and support teams are specialists in helping companies get the most out of their digital transformations, whether that’s analysing existing processes, forms, and other necessities and creating these in Re-flow, or finding new ways to boost efficiencies.

Roadgrip have been with Re-flow for around five years now. And their feedback on the software is positive.

‘Re-flow is a fantastic system,’ Roadgrip say. ‘The functions and features within Re-flow are user friendly and comprehensive, but also dynamic enough that you can have the software do what you need it to do. We wouldn’t have the streamlined operations we have now without Re-flow – and the team are fantastic. Re-flow understand the highways sector.’
